Paper submission & author guidelines

PRESENTATIONS

Papers:
The presentations are 25 min including questions. This is 5 min more than typically and it gives you time to show your results and conclusions properly. Please, prepare your slides accordingly. Upload your slides to the computer in the room before your session starts.
 
Posters:
The poster titles and presenters are shortly introduced at the beginning of the poster session. So, be present from the beginning such that your face can be shown to the audience. Please, place your poster before the poster session starts.

 

PAPER SUBMISSION

Papers must be original, unpublished full papers, written in English and must be at least 3 pages (preferably 5) but not exceed 8 pages, including abstract, figures, tables and references. Papers not satisfying these criteria will be excluded from the review.

The submitted papers must be pdf-files. Make best efforts to embed all fonts (as in final submissions) since the lack of this may cause problems when reviewers are reading your paper, especially this concerns equations.

Template

All submitted papers must use IEEE templates, either LaTex or Microsoft Word, obtained from the previous link.

Submission tool

Papers are submitted using CONFTOOL. First, go to https://www.conftool.net/icmcis2017/ and create an account for ICMCIS2017 by filling the details and setting your user name and password.

After this you will be able to submit your paper. 

Review process

All papers will be reviewed by at least three independent reviewers and the authors will be notified about the acceptance via email. Acceptance of submitted papers will be based on quality, novelty and relevance to the conference.

Important dates

Paper submission: February 1, 2017 (final deadline)
Notification of acceptance: March 6, 2017
Camera ready paper: March 31, 2017

 

FINAL PAPER SUBMISSION

All papers go through a plagiarism detection process.

The final paper submission has to follow these five steps:

  1. Add a copyright notice into your paper.
  2. Create IEEE Explore compliant pdf file using PDF eXpress.
  3. Download the paper approved by PDF eXpress Plus (PIDxxx.pdf) and submit it with ConfTool.
  4. Sign IEEE Copyright form (during the download process 3.).
  5. Provide the brief CV of the presenting author, to be used as speaker introduction (during the download process 3.).

Remember to register for the conference.

The process opens March 10.

More details on each of these steps are shown below.

1. COPYRIGHT NOTICE IN THE PAPER

All papers MUST HAVE a copyright notice on the bottom of the first page before an IEEE compatible pdf-file is created! The different alternatives are listed below. The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at: http://www.ieee.org/portal/pages/about/documentation/copyright/cfrmlink....

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-3858-3/17/$31.00 ©2017 Crown
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-3858-3/17/$31.00©2017 European Union
  • For all other papers the copyright notice is: 978-1-5386-3858-3/17/$31.00 ©2017 IEEE

In LaTeX, use the commad \IEEEpubid{978--1--5386--3858--3/17/\$31.00~\copyright~2017 IEEE }. It seems that you have to (at least I had to) use command \IEEEpubidadjcol somewhere in the first and second column of the first page, and the latest version of IEEEtran and not conference mode.

2. PDF-FILE INSTRUCTIONS

Follow IEEE style files as during first submission.

Final papers are collected in an IEEE PDF eXpress approved pdf-form.

The publication title will be: 2017 International Conference on Military Communications and Information Systems (ICMCIS)

 

Before Creating a PDF

Add the copyright notice to the bottom of the first page of your source document. See instruction for different alternatives above. If necessary, contact Harri Saarnisaari at harri.saarnisaari@oulu.fi for the appropriate copyright notice.

Proofread your source document thoroughly to confirm that it will require no revision.

 

Creating your PDF eXpress Account

Log in to the IEEE PDF eXpress Plus site

First-time users should do the following:

1. Select the New Users - Click Here link.

2. Enter the following:

  • 41023XP for the Conference ID
  • your email address
  • a password

3. Continue to enter information as prompted.

An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.

Previous users of PDF eXpress or IEEE PDF eXpress Plus need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.

 

Contacting PDF eXpress Support

Access the Publications Support Center for IEEE PDF eXpress.

If you do not find an answer in the Find Answers tab, go to the Ask A Question tab.

Your question will be forwarded to IEEE PDF Support and answered within 3 business days.

 

3. USE CONFTOOL

Download the file accepted and provided by PDF eXpress (PIDxxx.pdf) with CONFTOOL.

 

4. COPYRIGHT FORM

The IEEE copyright form must be filled in order to include the papers into IEEE Explore. This is done during downloading the final paper with CONFTOOL.
