Microsoft 365 Education (M365/O365)

Login name to O365 service is based on the university user account. Access to use the service is valid as long as your university account.

The login name is your Microsoft account (MS account). For the students it is in form account@student.oulu.fi and for the staff account@univ.yo.oulu.fi.

• Use your MS account when signing in any of the university's O365 services which use MS identification.

University user accounts have a multi-factor authentication (MFA) that protects your MS account from abuse.

If you have not chosen and set up the verification method in your MS account security information, you will receive a notification “More information required” (in Finnish "Lisätietoja tarvitaan") at the login stage and you will be directed to set your authentication method without delay. Follow the instructions on the screen and set the methods which you'll use to verify the logins:

• If you are using a smartphone, choose Authenticator app as a method. The other alternatives are text message and phone call.

As a rule, your email address is in the form: firstname.lastname@student.oulu.fi.

• @student.oulu.fi is your primary email address in all study related matters

Email addresses for the staff, researchers and so called UFO accounts are, as a rule, in the form: firstname.lastname@oulu.fi.

The secured e-mail should be used whenever confidential or delicate information is sent by e-mail from University of Oulu to outside or from outside to the university.

In the university’s internal e-mail traffic in O365 service an additional protection is not needed.

FileSender is a service for sending large files in a secure way. The staff and students can use FileSender of the university. Also Funet FileSender of CSC is available for all university users in Finland.

You may install Microsoft 365 applications even in 15 devices for your own use:

• in five different workstations (Windows, Mac),
• five tablets (Windows, iPad, Android) and
• five smartphones (Windows, iPhone, Android).

Download the applications this way:

• For mobile devices, pick up apps from the store of manufacturer.
• For your workstation, download software when you have signed in M365 service. Use Install apps button, which is seen on the same line as the greeting is.

Excel is a spreadsheet application.

The service is an external cloud service provided by Microsoft.

Terms of use by Microsoft Ltd and Terms of cloud service (login with the short user account) are obligating you as well as the university's E-mail rules.

The use of the service requires certain user information to be transferred to the use of the service provider. This includes the name, username and email address. The user’s password will only be stored on the university’s own servers.

According to the terms of use of the O365 service Microsoft may change the views and contents of the O365 service according to its own politics without informing beforehand. Because of this, small differences may occur in the guidance compared to your own view.

Access to use the service is valid as long as your university account. O365 service is in use automatically if your university account was created 1st August 2019 or later.

Your access right to O365 services ends no later than when the validity of your university account ends. Your documents and e-mails on Microsoft servers will be removed after 30 days, and it will not be possible to recover them afterwards.

The university's M365/O365 service is automatically enabled for all students and staff whose user account has been created on or after August 1, 2019. If your account is older and you have not specifically enabled the M365 service, do it now! The activation creates a Microsoft account which you need to sign in to the university systems.

Activate M365 via the activation form. Act this way:

• Login to the form with the short university user account.
• You agree Terms of use by Microsoft Ltd and the university's Terms of cloud service. Also the university's E-mail rules apply you when using the M365 service.
• During the deployment, the service will indicate your email address, write it down.
• The full service will be available within a couple of hours:
  • After couple of hours, log in to the service at http://o365.oulu.fi/
  • Your login name (M365 account) is in the form of: account@student.oulu.fi (students) or account@univ.yo.oulu.fi (staff and UFO accounts). The password is the same as the password of your university account.
  • Your logins are verified by phone, and therefore your MS account must have information about which authentication method you are using. If this information is missing, we will direct you with the notification More information required / Lisätietoja tarvitaan to add your authentication methods to your MS account.
