For the supervisor

The following things should be discussed with the applicant before starting the doctoral thesis project and applying for the study-right:

• The applicant and supervisor must plan and agree together on the topic and implementation plan of the thesis. It is required that a short study plan (3-6 pages) be already attached to the application for a doctoral study right.
• The applicant and the supervisors agree on the supervisory arrangements, and the process of the doctoral research in supervision plan.
• The applicant and supervisor also make a funding plan for the doctoral project, which includes personal funding for the doctoral researcher and possible research costs (e.g. analysis costs). In the application phase of the doctoral study-right, the funding plan is requested at least for the first year.
• Please note that the employment of a doctoral researcher does not automatically confer the doctoral study-right. The study-right must be applied individually in Studyinfo.
• When recruiting new doctoral researchers, you should also consider your own resources to supervise. A supervisor can have at most 10 doctoral researchers under their principal supervision. In addition to the principal supervisor, the doctoral researcher may have two other supervisors. The Graduate School recommends that each doctoral researcher have at least one co-supervisor.
• The supervisor has to verify the suitability of the applicant's educational background for the proposed field of the doctoral thesis and the degree programme. The applicant is required to have a suitable higher education degree (master's degree), good grades from the studies and final work of the previous degree, and adequate language skills.

Field-specific studies are added as personal study units.

1. Doctoral researcher can plan studies to Peppi as personal study units . Instructions for doctoral researchers how to add a personal study units are in the Study requirements webpage .
2. Doctoral researcher informs the completed study to the supervisor by email or supervisor can see the planned study in the personal study plan (PSP) of the doctoral researcher.
3. If doctoral researcher has not planned the study in the PSP, education assistant can add the personal study unit. Education assistant need the the following information: the name, place and dates of the course/scientific meeting/research visit/ teaching task and possible type of presentation
   
   • Scientific meeting: XXX conference 2024, Stockholm, Sweden, 1-3.2.2024. Poster presentation.
   • Qualitative methods course, University of Turku, 1.-7.5.2023
   • Research visit: Lund University, Sweden, 1.9.-2.10.2023
   • Teaching task: supervision of master’s thesis/ lecturing in the course XXX, 1.1.-31.3.2024
4. Information is added both in English and in Finnish. If the Finnish translation is not available, information is added in English.
5. Supervisor confirms the information and credits given to the to the Graduate School (uniogs(at)oulu.fi).
6. The study unit will be registered after the supervisor's confirmation.

Teaching tasks are added as personal study units to Peppi.

Depending on the doctoral degree programme, a doctoral researcher may include teaching in their degree. In that case, the doctoral researcher must have completed pedagogical studies (e.g. formal pedagogy training), or follow a course of a minimum of 2 credits in higher education pedagogy during doctoral training. The doctoral researcher may take e.g. the course "Basics of University Pedagogy for Doctoral Students" (920005J, 2 cr) offered by the University of Oulu Graduate School.

The recommendations of ECTS credits for different activities related to doctoral training by Graduate School:

Conferences

• National conference - poster 0.5 credits
• National conference - oral presentation 1 credit
• International conference - poster 1-2 credits
• International conference - oral presentation 1-2 credits
• Organising the conference 1-2 credits
• Attendance at scientific seminars 0.5 credit / 10h
• Participation at lecture course (incl. student's own work) 1 credit/ 10h

Research visit

• To another national research institution (+report) 0.5 credits / wk

• To an international research institution (+ report) 1 credit / wk

Teaching

• Lecture (depending on level) 2-3 credits / 10h
• Exercises 0.5 - 1 credit / 10h
• B.Sc. or M.Sc. thesis co-supervision/guidance 0.5 - 2 credits / thesis

General guideline for given ECTS credits concerning different activities: 1 credit corresponds to 27 h work.

The Finnish Advisory Board on Research Integrity (TENK) and Universities Finland UNIFI have published recommendations to universities on supervision of doctoral dissertations and their review process in Finland with a special emphasis on research integrity.

The recommendation takes into account the rights and responsibilities of the doctoral researcher but also all those involved in the doctoral dissertation's supervision and examination process.

If the doctoral research work is divided into two research units and/or the faculty, it is useful to agree on the allocation of research and funding from the degree. The Graduate School provides a contractual basis for the Internal agreement for sharing doctoral degree points and related funds between faculties and units

The signed agreement will be submitted to the controllers of the faculties concerned.

The Graduate School coordinates the double degree contracts of doctoral training. In line with the University's policy, double degree contracts for one doctoral researcher are no longer done. The prepared agreements are broader Framework Agreements, which are expected to include the mobility of about five doctoral researchers between the partner university and the University of Oulu.
